Getting started

Set up in the right order.

Four things to do in your first session. Each takes a few minutes and unlocks the next.

1. Complete your profile

Add your trading name, category, city and logo. A complete profile is what makes you findable when buyers search the network.

2. Send connection requests

Search by category and location, then connect with the suppliers and buyers you already work with offline. Nothing else works until you have connections.

3. Add your catalog

Enter products manually or import a spreadsheet. Set variants and groups, then choose which items are public and which are partner-only.

4. Publish a price list

Build one list, set margin rules per retailer tier, and publish. Update the base price later and every connected retailer sees it instantly.

Optional: connect Zoho Books

Authorise the integration to sync invoices and balances automatically. Without it, you can still enter credit limits and outstanding amounts by hand.

Optional: invite your team

Add colleagues as admin or member and scope them to the apps they actually use. Owners keep control of billing and integrations.

Troubleshooting & how-to.

Balances are only as current as their source. If you're synced with Zoho Books, check the last successful sync time in your integration settings and confirm the invoice has been marked paid in Zoho — Cawoba mirrors your books, it doesn't override them. If you're entering credit manually, the figure updates only when someone on your team edits it. Cawoba's numbers are for visibility; your accounting system remains the book of record.

Three things to check, in order: the connection request has actually been accepted (pending connections see nothing); the list is published rather than left in draft; and the retailer is assigned to a tier that the list targets. If all three are correct and it still isn't visible, send us the list name and the retailer's business name.

You can't silently alter a sent quotation — that would break the audit trail both sides rely on. Instead, issue a revision: the new version supersedes the previous one, the counterparty is notified, and the full history stays visible to both parties. Once a quotation is accepted, it's locked; create a fresh quotation for any further change.

Download the import template from Catalog → Import, fill it in, and upload. Product groups and variants are supported through dedicated columns. The importer validates before committing and reports any rows it couldn't read, so nothing is partially applied. For very large or unusual catalogs, email us the file and we'll map it with you.

Owners and admins manage this under Settings → Team. Owners control billing, integrations and app activation; admins run day-to-day records; members work only inside the apps assigned to them. Change a role and it applies on their next page load — no re-invite needed.

Export catalog, quotations and credit records from each app's export action, or request a full account export from privacy@cawoba.com. Deleting your account removes your data within 90 days, except records we must keep for statutory reasons and the counterparty's copy of transactions you were both part of.
